12 or more weeks out: the date and the shape

  • Check the calendar for other events on your shortlist of dates, in your city and on your topic.
  • Check public holidays and school holidays in every state your audience travels from.
  • Decide who the event is for, how many people, and whether it is in person, online or both.
  • Set a budget with a line for accessibility, catering and a 10% contingency.
  • Shortlist venues and ask each for capacity, step-free access, hearing loop, AV and wifi details in writing.

For sponsors and exhibitors

The EventChecker Booth Cheatsheet

22 things to do before, during and after an event so your booth pays for itself, each with the reason it matters. From Execs & Techs, v1.3, October 2026.

  • Document the business goals you are hoping to achieve: the number one thing that shapes every other decision on the list.
  • Set a numeric KPI target and your full cost baseline: a number tells you if it worked, and you cannot work out return without knowing what you spent.
  • Name who owns follow-up, and by when: the single biggest reason leads go cold is that nobody owns them.
